Start with the essentials

At minimum, a workable list needs accurate company and contact information: a real company name, a valid mailing address and, if you are targeting specific people, a recipient name and role. Add optional personalization fields

Anything beyond the essentials is optional but makes the campaign stronger. Yotru's designs can insert first name, last name, company and city into the copy, so those columns matter most. Other useful fields include industry, company size, a segment or tier label and a website. What varies from campaign to campaign is how much personalization the data can support, not whether the capability exists.

Format the file cleanly

Use one header row and one recipient per row. Keep each part of the address in its own column and avoid merged cells or several values crammed into one field. Use consistent capitalization and remove stray spaces. A standard spreadsheet or CSV export works, and formatting details get sorted out during review, so don't hold the list back over minor formatting.

Remove duplicates

Look for the same company under different spellings, the same person on two rows and a parent and subsidiary at the same address. If you plan to contact more than one person at an account, mark that deliberately so a second row looks intentional and not like a mistake.

Final checks before you send it over
