How Do Unique QR Codes Work in Direct Mail?

Every recipient, or every account, gets a QR code that no one else on the mailing list has. The pattern on the postcard looks like any other QR code, but underneath it points to an identifier tied to one record. Scan it, and the system knows exactly whose piece got scanned, not just that a scan happened somewhere in the campaign.

One shared code vs. thousands of distinct ones

The simplest way to put a QR code on a postcard is to generate one code and print it on every piece in the run. It's cheap, it's easy to produce, and it works fine if all you need to know is "how many people scanned this campaign." What it can't tell you is which of those scans came from which recipient, because every piece points to the identical destination. Two thousand postcards, one code, and the data coming back is a single undifferentiated number.

A unique QR code setup replaces that single code with one per recipient, or in some cases one per account when multiple contacts at the same company are being mailed together. Each code still opens a webpage the way any QR code does. The difference is that the underlying link carries a token unique to that piece, so the system on the receiving end can look up exactly who that token belongs to before the page even finishes loading.

What's actually encoded

The QR code itself just encodes a URL, the same as any QR code found on a menu or a poster. What makes it unique is a short string appended to that URL, a token generated per recipient when the mailing list is processed. That token doesn't need to expose anything sensitive, it's typically a reference the system can look up internally rather than the recipient's name or account details sitting in plain text in the address bar. When someone scans the code, their phone opens that URL, the token gets read, and the system matches it against the record it was created for.

What a scan captures

Once a scan resolves to a specific record, a few things become available that a shared code can't provide: which person or account scanned, when the scan happened, and in some setups an approximate location based on where the scan occurred. None of that requires the recipient to type anything or fill out a form first, the act of scanning is itself the data point. That's a meaningful difference from a lot of digital tracking, which usually needs a click, a form fill or a login before it can identify anyone.

What a unique code makes possible

The identity match is what unlocks everything downstream. A landing page can greet the visitor by name or company instead of showing a generic page meant for anyone. Attribution reporting can roll scans up by account, industry or list segment rather than reporting one flat total. And because the system knows who just scanned in real time, it can trigger an alert to a sales rep the moment it happens, while the postcard is still sitting on that person's desk. None of these are separate features bolted on afterward, they're all just different uses of the same underlying identity match that the unique code makes possible.

The setup work behind it

Unique codes take more setup than a single shared code, since a distinct code has to be generated and mapped to a record for every recipient before printing, rather than one code reused across the print file. For a campaign running in the low thousands of pieces or more, that generation step is handled as part of processing the mailing list, not something done by hand per piece. The practical cost isn't really in the printing, modern variable-data printing handles unique codes per piece about as easily as it handles a unique name, it's in making sure the list, the code generation and the tracking system are all connected correctly before the campaign goes out the door.
